Account Import Process and People Account Relationship

Overview

This article explains the process for importing Accounts and People in TDNext, and how account–people relationships are managed when account or department names are updated.

Accessing Accounts

  1. Log in to TDNext.

  2. Navigate to View All Applications.

  3. Select People.

  4. Select Accounts.

    • This will display all existing accounts.

Importing Accounts

  1. Go to the top-right corner of the Accounts screen.

  2. Click Account Import.

  3. Download the Account Import Template.

  4. Fill in the required columns in the template.

  5. Import the completed file back into the system.

    • This will import all the specified accounts.

Importing People with Account Information

  • During a People Import, the system checks that the specified Account or Department Name already exists in the Accounts list.

  • If there is a mismatch (e.g., due to a name change), the system will pause updates for the affected records.

Handling Account Name Changes

Example Scenario

If an account/department name changes from “Office of Military” to Military Office”, the system will not process the update because Military Office” does not exist in the Accounts list.

Resolution Steps for Admins

  1. Verify whether the new account name (e.g., Military Office) is a genuine new account or simply a renamed version of an existing account.

  2. If it is a name change:

    • Add the new account/department (e.g., Military Office) into the Accounts list.

    • Allow the import to process so all members are associated with the new account.

  3. Once all members have been moved successfully:

    • The admin may delete the old account/department (e.g., Office of Military).

Key Notes

  • Accounts must exist before People Imports reference them.

  • Name mismatches will pause specific people updates until resolved by an administrator.

  • Always confirm whether a change represents a new account or a renamed existing account to avoid duplication
